General Terms and Conditions of Application and Participation in the FOOD Zone at Dreamersland 2027

FOOD is the Festival’s food and catering zone. Submitting an application begins the selection process. Dreamersland will subsequently select a limited number of partners in order to create a diverse, efficient and safe food offering for the entire edition.
§ 1. Organiser and Festival
1.1. The Organiser is DREAMERSLAND spółka z ograniczoną odpowiedzialnością, with its registered office in Warsaw, ul. Żegańska 21/23, 04-713 Warsaw, Poland, KRS 0000990809, NIP 9522231708, REGON 523041221, hereinafter referred to as the “Organiser”.
1.2. Dreamersland Festival 2027 will take place at Zaścianek Babie Lato, Ziemiary 56, 99-417 Bolimów, Poland, from 4:00 PM on 14 July 2027 until 2:00 PM on 18 July 2027, hereinafter referred to as the “Festival”.
1.3. These General Terms and Conditions (“Terms”) set out the rules for submitting an application, selecting partners and subsequent participation in the FOOD zone. Acceptance of these Terms is required in order to submit the Application Form, but does not in itself constitute acceptance of the application.
§ 2. Application, Selection and Conclusion of the Agreement
2.1. Submission of the Application Form constitutes an application to participate in the selection process only. It does not constitute an offer, acceptance, reservation of a space, conclusion of an agreement, or any obligation on the part of the Organiser to enter into a collaboration.
2.2. The Organiser may receive significantly more applications than there are spaces available and will select a limited number of partners. Applications are not selected on a first-come, first-served basis. The aim is to create a cohesive and diverse FOOD zone. The selection process takes into account the quality and diversity of the menu, vegetarian options, prices, service capacity, food safety, technical requirements, aesthetics, and the potential for effective collaboration during this edition.
2.3. The Organiser may request additional information, documents, photographs, technical details, or a meeting. The rejection of an application does not constitute an assessment of the applicant as a person or of the value of their work, and does not give rise to any claim or entitlement to participate.
2.4. A selected Exhibitor will receive confirmation of acceptance of their application by email (“Acceptance”). Only this message constitutes confirmation that the Exhibitor has been selected for the FOOD zone. The Organiser will not send a separate individual offer.
2.5. Following the Acceptance, the Organiser will issue an invoice for the approved Package. The payment deadline is 14 days, unless a later deadline is specified on the invoice.
2.6. The Agreement is concluded and the space is reserved once the invoice has been paid in full and on time. Failure to make payment will result in the Acceptance expiring and will entitle the Organiser to offer the space to another applicant.
2.7. The Agreement consists of the accepted part of the Application Form, the Acceptance, these Terms, the invoice, and any subsequent organisational instructions concerning technical and operational matters.
§ 3. Packages and Prices

3.1. Each GASTRO PASS includes an unfurnished space for the approved stand, 6 Festival passes for Personnel, Personnel access to the campsite and Exhibitor parking, as well as access to a shared water point in accordance with the Organiser’s instructions.
3.2. The Package does not include a food truck, tent, furniture, equipment, refrigeration, storage, security, an individual water or sewage connection, wastewater disposal, or electricity.
3.3. The amount stated on the invoice will correspond to the approved Package and power supply. If the applicable VAT rate changes, the correctly calculated amount stated on the invoice will apply.
§ 4. Organisation of the Zone
4.1. The Organiser determines the exact location of the stand within the FOOD zone. The Organiser may change its location for safety, production, or infrastructure reasons, providing, where reasonably possible, a space with a comparable function.
4.2. The Package includes 6 Festival passes for Personnel, Personnel access to the general campsite, and Exhibitor parking. Access to the campsite does not include the allocation of a separate camping plot.
4.3. The Exhibitor is responsible for providing their own stand, equipment, weather protection, supplies, and Personnel. Set-up, deliveries, daily operations, and dismantling must take place at the times and via the routes specified by the Organiser.
4.4. The Exhibitor must keep the stand and its surroundings clean and orderly, separate waste, and remove their own belongings, waste, and any resulting dirt or contamination after the event. The Organiser does not accept equipment, goods, or cash for safekeeping.
4.5. Roads, passageways, emergency exits, fire access routes, and access to installations must remain unobstructed. The Organiser may immediately suspend any activity that poses a risk or violates applicable law or safety requirements.
§ 5. Meal Tokens, Food and Safety
5.1. Under the Package priced at PLN 4,888.00 net, the Exhibitor agrees to accept a maximum of 200 Meal Tokens during the Festival. One Meal Token may be exchanged, without any additional charge, for one full meal from the current menu. The main portion must weigh at least 400 g.
Once the pool of 200 Meal Tokens has been used, any further meals for the Organiser or team will require a separate order and an agreed price.
5.2. The Package priced at PLN 9,888.00 net does not include any obligation to accept Meal Tokens.
5.3. The Exhibitor must identify at least one signature dish in the approved menu that will also be available to artists. The menu must correspond to the information provided in the Application Form and include the declared wide range of vegetarian options. Any material change to the menu requires the Organiser’s approval.
5.4. The Exhibitor is responsible for food safety, must hold the appropriate approval or registration of their food establishment with the competent Polish State Sanitary Inspection authority, and must present the relevant document no later than 30 days before the Festival. The Exhibitor must apply HACCP, GHP, and GMP principles appropriate to their operations.
5.5. Before purchase, the Exhibitor must clearly state the name and price of each dish and provide accurate information regarding ingredients that may cause allergies or intolerances. The Exhibitor must maintain appropriate temperatures, Personnel hygiene, protection against contamination, and an uninterrupted cold chain.
5.6. The Exhibitor must provide their own facilities for the hygienic washing of hands and equipment, collect wastewater in a sealed tank or discharge it exclusively into a designated installation, and ensure the proper disposal of used cooking oil and waste.
5.7. The use of gas, open flames, and heating equipment must be declared in advance. Gas cylinders, hoses, and regulators must be in proper working order and appropriately secured. The stand must be equipped with a suitable fire extinguisher and fire blanket. Electrical installations must be suitable for outdoor use.
5.8. The Exhibitor conducts sales on their own account, issues all legally required proof of sale, applies the appropriate taxes, and independently handles consumer complaints. The sale and serving of alcohol on the Festival Grounds is prohibited.
5.9. The Exhibitor must hold valid liability insurance covering outdoor catering operations, personal injury, and product liability, and must present the insurance policy before the Festival.
§ 6. Withdrawal, Changes and Liability
6.1. Once the Agreement has been concluded, withdrawal from participation or the Exhibitor’s absence during the Festival does not constitute grounds for a refund of any fees paid.
6.2. If the Festival is cancelled, fees paid will be settled solely in accordance with mandatory provisions of applicable law. The Organiser will not cover preparation costs, travel expenses, accommodation costs, loss of profit, or any other expenses incurred by the Exhibitor.
6.3. The Organiser may change the date, location, programme, schedule, or layout of the zone for significant production or safety reasons, due to decisions of competent authorities, or due to circumstances beyond the Organiser’s control. If participation remains possible, such a change does not constitute grounds for a refund or any other claim.
6.4. Each Party is responsible for its own acts and omissions. The Exhibitor is responsible for its Personnel, stand, products or services offered, and any damage caused through the fault of the Exhibitor or its Personnel. Liability for intentional damage is not excluded.
§ 7. Materials, Data and Final Provisions
7.1. The Exhibitor retains all rights to its name, logo, descriptions, and materials. Upon Acceptance of the application, the Exhibitor grants the Organiser a non-exclusive, royalty-free right to use such materials for the purpose of presenting the Exhibitor’s participation in the 2027 edition. Publication of a portrait or posed promotional material requires a separate legal basis.
7.2. The Organiser processes personal data for the purposes of handling applications, selecting partners, entering into and performing the Agreement, financial settlements, safety, and the establishment, exercise, or defence of legal claims. Further details are provided in the Privacy Policy.

7.3. All enquiries and complaints should be sent to hello@dreamersland.eu. The Organiser will respond without undue delay, generally within 14 days.
7.4. The Agreement is governed by Polish law. Mandatory provisions of applicable law, decisions of competent authorities, the Festival Terms and Conditions and, where applicable, the Mass Event Regulations take precedence over these Terms.
